Presentation, Discussion and Action: Approve Consent Agenda, which may be approved with one motion, to approve the following:
• Minutes of the July 16, 2024 meeting
• Agenda for July 25, 2024
Bill Sakelarios made a motion to approve the consent agenda as presented; Frank Vander Horst seconded the motion; it was approved unanimously 5/0 by Larry Fullmer, Frank Vander Horst, Robyn Bryce, Bill Sakelarios, and Parrish Jackson.
Presentation, Discussion and Action: Review the Data Collected from the AI related survey
John Morgan and Adam Neely joined the meeting.
The board reviewed the data collected from the libraries, there were only a few new submissions from Suzie Roth the County Library Director, County Free Library District, Embry Riddle and a PCL. The libraries data reflected the same as schools as a basic need of knowledge of AI and VR.
Discussion, and Action Item: The Committee will Identify Plans for the Afternoon Breakout Session for the Countywide Administrators Meeting for Wednesday, September 25, 2024, from 1 pm to 3:30 pm. This Will Involve both the Technical and Policy Development Aspects
Mr. Carter advised the committee that Clark Tenney would be willing to run the administrative/policy portion of the training and Robyn will run the IT basic training technical portion of the training. The committee reviewed what the schedule should look like from 1-3 after the Countywide. There were issues discussed such as the overlap of countywide sessions and room availability. The committee discussed other options of holding trainings around the county instead of 1 two-hour training. The board agreed that holding a series of trainings throughout the county with virtual attendance options would be more productive. The board agreed to no longer hold the training on September 25th. Mr. Carter will speak with the superintendents regarding the trainings about 2 dates one on each side of the mountain, being face to face, identify sites, and allow for virtual attendance. Initial trainings will be only AI and VR/XR will then be on the Yavapai College Campus later.
Presentation, Discussion and Action: The Committee will Establish a Plan for the Use of Up to $250,000.00 of the Set Aside from the Forest Fee Management Association (FFMA) Board on September 17th
The committee discussed there is no immediate use for the requested amount. However, the committee discussed advising YCETC board to request that FFMA hold the funds to be used over a period, or to request FFMA for only $25,000 for the training expenses, since rooms will be reserved at no cost for trainings. The $25,000 or additional requests could be used for licensing with ChatGPT, and a cohort of teachers could be trained as users.
Bill Sakelarios made a motion to advise YCETC board to change the requested amount to FFMA to $25,000 for initial trainings and the committee will work with Superintendents and Directors to identify 4 trainings around the county for 1 hour; Frank Vander Horst seconded the motion; it was approved unanimously by Frank Vander Horst, Adam Neely, Bill Sakelarios, Robyn Bryce and Larry Fullmer
Discussion and Action: The Committee May Add Future Meeting Dates, to be Held at the YCESA Training Room.
The committee agreed to meet August 29th at 2pm, to further discuss dates and times feedback from Superintendents.
Action Item: Adjournment
Meeting was adjourned at 3:31 pm
